Payouts

Affiliates earn commission on the sales they drive. The Payouts page tracks what each affiliate is owed, lets you pay them out, and keeps a full history.

What you see

• Summary: total pending payout, total paid to date, and how many payouts are still open.
• Ready to pay: every affiliate with a pending balance, their payout method and the amount owed.
• Payout history: every payout with amount, method, reference, status and date.

Paying an affiliate

1. Open Payouts under Affiliates.
2. Under Ready to pay, review each affiliate's pending balance and method.
3. Choose Pay out. The balance moves from pending to paid, and the payout appears in the history at processing until PayPal confirms the money arrived. Then it reads paid. If PayPal refuses it, the balance goes back to the creator and the payout reads failed.

When PayPal takes its time

• Checked every hour. A payout that has been processing for more than half an hour is checked with PayPal every hour, so one whose webhook never arrived still settles.
• Unclaimed. A payout the creator has not accepted yet says Unclaimed at PayPal under its status. PayPal holds it for thirty days; the creator usually only has to finish setting up their PayPal account.
• Mark failed asks PayPal first. Paid there makes it paid here, an unclaimed one is taken back from PayPal before it closes, and one PayPal is still sending stays open. Only a payout PayPal never confirmed a batch for closes on your word, once you have checked PayPal for it.
• Disagreements are flagged. When PayPal later says the opposite of a payout that is already closed, paid after it failed or sent back after it was paid, you get an alert under the bell and in Slack, before anybody is paid twice.

The creator's payout address

Only the creator, signed in to their portal, sets or changes where they are paid. Nobody else can, your team included. You see the address masked, like ja•••@gmail.com, with the date it last changed, so a fresh change stands out before you pay. The creator gets a mail for every new address, the first one too. Nobody on your team reads the whole address, owners included, not in Ecomyard and not through its API: Pay out hands it to PayPal on the server and nowhere else. Until they have one, Pay out refuses rather than sending money nowhere.

Brief fees

A brief paid as a fixed fee, or a fee on top of commission, owes the creator that fee the moment you approve their delivery for it under Deliveries. The fee goes onto their balance once, in whole cents, however often that brief is approved, so the next Pay out carries it together with their commission. The creator sees it under Fees in their portal, first as owed and then as paid; if PayPal refuses the payout, the fee is owed again, like the commission it carried. When a fee was settled another way, untick Record the fee while approving.

Methods

Affiliates are paid through PayPal, from your own PayPal account. You connect it on the Payout methods page.

Payouts are an action for admins and roles that may manage payouts. An affiliate with any money on the books, owed or paid, is archived rather than deleted, so what they are owed stays.

Commission review

Commissions are gated on fulfillment: a new sale lands as held and only counts toward the affiliate's balance when you mark the order fulfilled. Marking it refunded voids the commission, and reverses it if it was already approved. A cancellation in Shopify does the same, refund or no refund. The held total sits at the top of the Payouts page so nothing gets paid out on orders that never shipped.
